Privacy Policy

• Profile information: name, preferred name, pronouns, UGA and personal email, phone, date of birth, major, minors, graduation semester, pledge class, LinkedIn and other links you add, a short bio, what you're doing now (alumni), shirt and sweatshirt sizes, and a profile photo
• Your membership group (rushee, pledge, active, chair, eboard, inactive, or alumni), committee memberships, and any role or title the chapter gives you
• During rush: your interest form answers (such as GPA and how you heard about us), resume, headshot, interview bookings, and the notes and evaluations chapter members write about you as part of rush
• Event RSVPs, check-ins and attendance, including any documentation you submit for an excused absence
• Messages you send in direct messages and group chats, including any photos or files you attach, and reactions
• Photos and videos you upload to shared albums or the public gallery, and documents you upload to the document library
• Poll votes, reports, support tickets, career insights, and project sign-ups or applications you submit
• If you choose to connect them: your Discord account ID and username, and a private calendar subscription link
• In the app: a device token so we can send you push notifications, and your notification settings
• A unique member ID and login identifier from our authentication system (see below)
• A log of administrative actions, such as group changes, kept so chapter leadership can review what changed and who changed it

The Services do not store your password. Sign-in goes through Authentik, an identity system the chapter runs on its own server. Authentik issues a secure token that the Services use to verify who you are on each request.

The website uses cookies to keep you signed in. It also saves a few preferences in your browser, such as the portal theme, sidebar layout, and, if you check "Remember me", your username on that device. The website also sets Google Analytics cookies (see below).

Each piece of information above supports a specific feature. The directory needs your name and major, messaging needs a place to store messages, the calendar needs RSVPs, and rush needs interview records so the chapter can make bid decisions. We do not collect anything beyond what a given feature needs to work.

Other members can see what's normally visible in a chapter directory and shared spaces, including your name, major, graduation year, and anything you post in shared channels, subject to whatever audience you or eboard target it to. Direct messages are only visible to the people in that conversation. Chapter leadership (eboard) can additionally see membership records, review reports, and manage accounts as part of running the chapter.

Rush information, including resumes, interview notes and evaluations, is visible only to the chapter members who run rush and the pledge process, not to other rushees.

Members and alumni appear on the public roster at ugaktp.com/members-list, which anyone can see without an account. It shows your name, photo, role, pledge class, LinkedIn, the links you've added, what you're doing now, and any traits the chapter has given you. You can turn this off in Settings under Privacy.

The website uses Google Analytics, loaded through Google Tag Manager, to understand how many people visit and which pages they use. Google receives the pages you view, your approximate location, your device and browser, and the site that referred you, and uses cookies to recognize repeat visits. We don't send Google your name, email, or account details. You can opt out with Google's Analytics opt-out add-on or a content blocker. The KTP Life app does not use any analytics or tracking tools.

We don't sell your data or share it with advertisers. The backend, authentication, and photo storage are all self-hosted on the chapter's own server. These outside services are involved:

• Google, for website analytics (see above)
• Apple, for distributing the app and delivering push notifications
• Discord, only if you connect your account, so the chapter's Discord server can give you your committee roles
• LinkedIn, whose posts are embedded on the home and Spotlight pages and load from LinkedIn when you view them
• A few public pages show logos loaded from outside image hosts, which see a normal web request from your browser

We keep your information for as long as you have an account. Rushees who don't continue after rush may be moved to a separate chapter archive.

If you delete your account from Settings, your login is deleted and your record in the Services is de-identified. Content you're part of (messages, shared photos) stays in place for other members rather than being deleted out from under a conversation, but is no longer tied to your name. A copy of your profile and chapter history, including any rush records, resume and photos, is kept in a separate archive that only chapter leadership can access, so the chapter can recognize you if you sign up again. To have your archived information erased, contact us at the address below.

• Update or correct your info anytime from Settings
• Hide yourself from the public roster from Settings
• Block another member from messaging you, from Settings or their profile
• Report content or a member for eboard to review
• Opt out of Google Analytics with Google's opt-out add-on or a content blocker
• Delete your account from Settings. This is self-service and takes effect immediately.
